Job Overview
- Assist in event planning for three Board of Directors meetings - requires travel (past locations have included Mexico, Las Vegas, FL Keys).
- Assist in Annual Conference logistics - including speaker logistics, pre event planning, board of director's special events, and on site support - requires travel (past locations have included Las Vegas, Orlando, Arizona, Los Angeles, Naples, FL).
- Assists CEO in all administrative related tasks, including, but not limited to: scheduling of CEO trips, meetings and conf. calls with Board of Directors, minute taking at Board of Directors meetings, assembling of all board of director's materials, assembling of all materials required by CEO for presentations and other admin functions as assigned by Director of Programs and/or CEO.
- Primary Staff liaison to Board of Directors. Maintains leadership volunteer database, coordinates distribution of board materials, coordinates logistics for Executive Leadership events.
- Cross trained with Communications Assistant on delivery of association webinars, email marketing, and other on line communications activities.
- General office support for Senior Staff, including answering phones, mail distribution, filing and office organization
- Various other duties, as necessary
- The candidate will report to Director of Programs
Job Requirements
- Bachelor's Degree in Business Management, Event Planning, Public Policy or related field (Please, no current students)
- 0-3 year(s) of experience as an intern or entry-level job assisting a company, non-profit, or department with conferences, logistics, vendors, and meetings.
- Excellent PC skills, including MS Office Suite (most importantly, advanced Excel and Power Point). Web and graphic skills are a big plus.
- Excellent communication skills (oral and written)
- Comfortable speaking to business leaders
- Team player with the ability to work independently
- Ability to multi-task in a fast-paced environment (flexible)
- Strong organizational skills
- Excellent attention to detail
- Willingness to take on new projects when needed
- Overtime may be required
Other Requirements
- Interest in event/meeting planning is a must. We are willing to train if candidate is highly motivated.
- This job will allow you to eventually lead small events and act as the main point of contact.
- You'll also be required to travel a few times a year for these events.
- Willing to wear many hats. It's a trade association that serves over 300 companies, and their internal employees wear many hats.
