Responsibilities of the Administrative Assistant :

  • Answer customer questions and solve any problems they are having using high-performing customer service skills
  • Enforce all lease terms and provide updates as needed
  • Perform rent collection duties such as contacting customers, attempt to establish payment schedules and advise customers of actions for debt repayment
  • Record maintenance orders such as logging requests via calls and emails for residents and property owners, communicate on status of repairs and receive financial approvals on estimates
  • Troubleshoot basic maintenance requests with clients
  • Performs move-out procedures such as move out notices, issuing tenant move out packets, decide on security deposit payments, evaluates move in and out documentation and videos for damage, mediates with owner and resident as needed
  • Perform data management duties such as verifying documentation for new property owners and tenants, processing those files, ensure data is accurate in management software, process payments and security deposits appropriately
  • Assist with HOA Rules and Regulations compliance
  • Perform other duties as required

Requirements of the Administrative Assistant :

  • Previous experience in a customer service based environment
  • Ability to be transparent and take ownership

  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks
  • Very strong interpersonal skills and the ability to build relationships with staff, external partners, and prospective renters
  • Ability to manage and diffuse irate and distressed customers
  • Proven ability to handle confidential information with discretion
  • Forward looking thinker, who actively seeks opportunities and proposes solutions
  • Excellent communication skills both in person and over the phone, with a high level of professionalism
  • Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point)
