The Administrative Assistant serves as the primary point of contact for internal and external constituencies on most matters pertaining to the Office of the President. This person has responsibility for managing the President’s schedule, coordinating executive communications including emails, calls and event invites, supporting the business, and interfacing with staff to complete special projects. Responsibilities of the Administrative Assistant:

  • Provide administrative support to the President, which includes email management, scheduling for the President and other staff members when relevant, preparing the President for meetings and ensuring the right people are included at the right time
  • Manage contacts and interactions utilizing Outlook, Salesforce, and Pardot
  • Provide administrative support for board functions, which includes scheduling board and executive committee meetings, creating meeting agendas, taking minutes, supporting board reporting and the organization’s business rhythm
  • Provide support for the President’s personal errands including tracking receipts, scheduling personal appointments, and assisting with paperwork
  • Prioritize conflicting needs; handle matters expeditiously, proactively, and follow-through on projects to successful completion, often with deadlines pressures
  • Acts as a backup support when needed for the Office Manager
 

Requirements of the Administrative Assistant:

  • Bachelor’s degree, with one to three years of previous experience
  • Experience and interest in internal and external communications, partnership development
  • Excellent interpersonal, written and customer service skills, including the ability to work and interact professionally with staff, board members and external partners at all levels
  • Excellent organizational skills with a strong attention to detail, including the ability to conduct and coordinate multiple tasks under pressure and tight deadliness
  • Highly resourceful team-player, with the ability to also be extremely effective independently
  • Proficient in Outlook MS Word, Excel, Outlook, PowerPoint and Adobe Acrobat
  • Salesforce, Pardot, Social Media web platforms experience a plus
