We are seeking an Executive Assistant / Operations Coordinator to help a local real estate company’s Owner and grow the business. Ideal candidates will be outgoing, self-motivated, and highly responsive and will possess excellent written and verbal communication skills. As candidates grow in the role, they may take on greater responsibility tailored to their skills and interests. Responsibilities of the Executive Assistant /Operations Coordinator: 

  • Scheduling of meetings and conference calls
  • Outreach to borrowers and other business contacts to arrange meetings
  • Attending certain meetings and site visits to provide support and memorialize the meeting/decision points as needed
  • Manage business contact list
  • Email the owner at the start of each day to determine priority action items and manage ongoing activities
  • Book any required travel
  • Update website, blog, and social media accounts to reflect our current projects
  • Filing of documents with local government as needed
  • Assist with property management of properties as needed
  • Schedule settlements and managing documents needed from title companies and banks for closings
  • Review and edit all monthly updates drafted in office.
  • Notarize Documents
  • Assist with the management of Direct Mail Program as needed
  • Other duties as assigned

Requirements of the Executive Assistant /Operations Coordinator: 

  • Bachelor’s degree from a 4 year college or university
  • Ambition and ability to work hard
  • Takes initiative and works independently
  • Previous administrative support or executive support experience
  • Previous experience managing operations for a small company
  • Ability to enjoy and thrive in a small business and entrepreneurial environment
  • Detail-oriented and very well organized
  • Driver’s license and ability to travel locally to developments and meetings
  • Ability to be a “hands-on, jack of all trades”
