About Us:

We are seeking a skilled Legal Secretary to provide comprehensive administrative and secretarial support to three Partners within our esteemed law firm. The ideal candidate will possess exceptional organizational abilities, strong communication skills, and a keen eye for detail. This role requires a proactive individual capable of managing a diverse range of tasks efficiently while maintaining confidentiality and professionalism at all times.

Responsibilities of the Legal Secretary:

  • Manage calendars, schedule appointments, and coordinate meetings for the Partners 
  • Prepare correspondence, memos, and legal documents accurately 
  • Maintain electronic and physical filing systems, ensuring documents are organized Handle incoming calls and emails, responding promptly or redirecting inquiries as appropriate
  • Serve as the initial point of contact for clients, providing exceptional customer service and assisting with inquiries
  • Coordinate client meetings, including preparing meeting materials and arranging conference rooms
  • Assist with the preparation, editing, and proofreading of legal documents, including contracts, briefs, and pleadings 
  • File legal documents with the appropriate courts and agencies, ensuring compliance with deadlines and procedural requirements 
  • Maintain and update client databases and case management systems with accurate and current information
  • Prepare, review, and edit client invoices, ensuring accuracy and adherence to billing guidelines 
  • Track billable hours and expenses for the Partners, assisting with the preparation of monthly billing reports 
  • Coordinate with accounting staff to process payments and reconcile client accounts as needed
  • Conduct legal research using online databases and other resources, summarizing findings for review by the Partners 
  • Compile and analyze data related to cases, statutes, and regulations, assisting with the preparation of legal arguments and strategies
  • Collaborate with other legal secretaries and support staff to ensure seamless operations within the firm 

Qualifications of the Legal Secretary:

  • Bachelor's degree preferred
  • 5+ years of proven experience as a Legal Secretary or similar role, preferably supporting multiple attorneys or partners
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and legal software 
  • Strong organizational skills with the ability to prioritize tasks and manage time effectively
  • Excellent written and verbal communication skills, with a professional demeanor
  • Discretion and confidentiality in handling sensitive information
  • Ability to work independently with minimal supervision and thrive in a fast-paced environment 
  • Familiarity with legal terminology, procedures, and document formatting standards
