We are a growing national nonprofit organization looking for someone to support implementation and growth of engagement programs, objectives, and strategies. The Office Operations Administrator will work as part of a cross-division team to coordinate planning, execution and follow up of office moves in the DC area. This person will work with C level executive leaders as well as members of the board to develop and implement changes and improvements. 

Responsibilities of the Office Operations Administrator:

  • Assist in managing and execution of the organization’s daily operational procedures including facility management and office procurement
  • Liaise with different departments to improve performance and work efficiency
  • Track inventory of office supplies to ensure proper levels are on-hand to support business needs
  • Create, maintain and input information into databases
  • Prepare presentations as needed
  • Provide support to staff and volunteers for departmental activities
  • Provide backup support to receptionist, as needed, by directing calls to appropriate department(s), and provide resources as requested
  • Under the direction of the Director of Operations & Board Liaison, oversee and execute the Organization Records Retention Policy to ensure compliance and consistency
  • Perform basic bookkeeping functions
  • May organize events, meetings, or conferences including all logistics (notifications, facilities, catering, travel arrangements, product distribution, and attendee support) and ensuring that events remain within budget
  • Prepare accurate reports including expense and other ad hoc reports

Requirements of the Office Operations Administrator:

  • Bachelor’s degree or high school diploma and equivalent in work experience.
  • Minimum three years of administrative experience
  • Experience with procurement and logistics is a plus
  • Experience with document and inventory management 
  • Project management skills and experience 
  • Excellent verbal, written and interpersonal skills: ability to work with diverse audiences internally and externally
  • Strong organizational skills and attention to detail
  • Possess thorough knowledge and usage of Microsoft Office software (Microsoft Word, Excel, Outlook, and PowerPoint)
  • Excellent planning and time management skills with the ability to successfully manage multiple projects.
  • Proficiency in database management
