A well-established national trade association is seeking a high-level Executive Assistant & Office Manager to support its President & CEO and senior leadership team. This individual will act as a trusted right-hand partner, managing executive operations, coordinating high-level initiatives, and ensuring seamless day-to-day office functionality.

Responsibilities:

Executive Support
  • Provide direct, high-level administrative support to the President & CEO
  • Manage complex and ever-changing calendars, priorities, and scheduling needs
  • Coordinate domestic and international travel, including itineraries and logistics
  • Prepare and edit correspondence, presentations, reports, and board materials
  • Serve as a gatekeeper and liaison for internal and external communications
  • Coordinate executive meetings, agendas, materials, and follow-up action items
  • Support Board of Directors and Executive Committee logistics and communications
Leadership & Administrative Support
  • Provide administrative support to senior leadership team members as needed
  • Coordinate leadership meetings, offsites, and strategic planning sessions
  • Track and ensure follow-through on key initiatives and priorities
Office Management
  • Oversee daily office operations to maintain a professional, efficient environment
  • Manage vendors, office supplies, and facilities-related needs
  • Coordinate onboarding logistics for new hires and visitors
  • Support general office communications and front office responsibilities
  • Provide oversight and mentorship to administrative staff
Operations & Process Improvement
  • Manage expense reporting, invoicing, and basic budget tracking
  • Establish and improve administrative systems and processes
  • Support cross-functional initiatives and internal communications
  • Identify opportunities to increase efficiency and executive productivity

Requirements:

  • 5+ years of experience supporting a CEO, President, or senior executive
  • Prior experience in a corporate or nonprofit environment (non-government preferred)
  • Exceptional organizational, time management, and communication skills
  • Strong attention to detail with a high level of follow-through
  • Ability to manage multiple priorities in a fast-paced environment
  • High level of professionalism, discretion, and confidentiality
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
