This role supports the execution of membership initiatives and operational projects for a mission-driven organization. The Membership & Operations Specialist will manage projects, support member engagement and retention efforts, and coordinate volunteer and council activities. This individual will play a key role in ensuring projects align with strategic goals while delivering a high-quality member experience.

Key Responsibilities: 

Project Management & Execution
  • Develop and manage project plans aligned with organizational goals using Smartsheet or similar tools
  • Lead project kick-off and planning meetings to define objectives, timelines, and deliverables
  • Track progress and ensure projects remain on schedule
  • Partner with leadership to ensure alignment with strategic initiatives
Project Evaluation & Continuous Improvement
  • Measure project outcomes using internal data, surveys, and stakeholder feedback
  • Adjust project plans based on performance and insights
  • Apply learnings from current initiatives to improve future projects
Membership Engagement & Growth
  • Support recruitment initiatives to attract new members
  • Continuously refine strategies to increase member engagement across programs and services
  • Manage the membership renewal process to achieve target retention rates
  • Serve as staff liaison to membership councils and assigned committees
Volunteer & Council Coordination
  • Manage onboarding and renewal processes for volunteers
  • Provide training and ongoing support to council chairs and members
  • Ensure completion of required documentation and compliance with expectations
  • Track participation and maintain accurate records of engagement
  • Assist with updates to council structures and responsibilities
Society & Program Support
  • Support membership engagement and retention efforts for affiliated societies
  • Coordinate volunteer processes and project execution for society initiatives
  • Assist with ongoing program needs and special projects

Qualifications

Required
  • 2–4 years of experience in membership services, project management, or a related field
  • Experience managing multiple projects and priorities simultaneously
  • Proficiency in Smartsheet or similar project management software
  • Strong skills in Microsoft Office Suite
  • Excellent written and verbal communication skills
  • Strong organizational and interpersonal abilities
  • Ability to think proactively and solve problems creatively
  • High attention to detail and ability to meet deadlines
  • Team-oriented mindset with a strong “can-do” attitude
Preferred
  • Experience working within an association or nonprofit environment
  • Familiarity with Novi Association Management System (AMS)
  • Exposure to Traction/EOS operating system
