Overview

The Governance Administrative Assistant provides administrative support to the Grants and Awards Program as well as the Special Interest Groups within the Governance and Member Engagement Department.  The Governance Assistant will perform general administrative duties as well as serve as the administrative support for the councils and centers as well as the grants and awards program.  The Governance Assistant will report to the Associate Director of Governance.
 

Essential Duties and Responsibilities

  • Provides administrative support for the Associate Director of Governance.
  • Performs general administrative duties such as copying, faxing, shipping, and processing of forms (RPA’s).
  • Serves as a primary point of direct administrative contact for council and center members and grants and awards program.
  • Coordinates activities of the 9 councils and 3 centers of excellence, including meetings, minutes, conference calls, task forces, compilation of agendas and meeting materials, follow-up on items discussed during meetings, updating iMIS board roster, elections, awards, and educational programs.
  • Assists with the grant and award process, including the application and review process of the grants and awards program (utilizing award platform); which includes posting of grants and awards, fielding applicant queries, coordinating with Chair and the members of two committees with the applicant review and selection process.  
  • Creating an annual report regarding grants and awards, planning and implementing grant and award related events and activities at the Annual Meeting and Mid-Winter Meeting. 
  • Create and update web content and maintain excel documents to track and record grant and award activities.
  • Performs other duties as assigned.
 

Qualifications:

  • Bachelor’s degree and/or five years of program coordination and administrative experience.
  • Multi-tasker, organized, ability to track incoming and outgoing correspondence and coordinate the flow of paperwork and emails. 
  • Ability to maintain effective working relationships with others; to handle confidential work, to interpret and handle routine matters. 
  • Communicate effectively and professionally. 
  • Excellent oral and written communication skills.
 

Travel Requirements

This position will travel at least two times a year (Mid-Winter and Annual Meetings). Additional travel may be required.
