Responsibilities:
- Manage the front desk and reception area, ensuring a professional, clean, and welcoming environment at all times.
- Answer and route incoming calls on a multi-line phone system, take messages as needed, and direct inquiries to appropriate staff.
- Greet and assist onsite visitors, notify employees of guest arrivals, and provide general hospitality support.
- Support office operations by coordinating mailroom activities, including receiving, sorting, and distributing incoming mail and preparing outgoing mail.
- Assist with onboarding support by preparing nameplates and mailbox labels and providing office and building tours for new hires.
- Coordinate office services and maintenance requests, including HVAC and security-related concerns.
- Order and maintain inventory of office supplies, pantry items, and beverages to ensure the office remains well stocked.
- Assist with coordinating catering and onsite event logistics for internal meetings and team events.
- Maintain relationships with external vendors and building management to support office operations, maintenance, and service needs.
- Ensure all common areas, conference rooms, and shared spaces are clean, organized, and appropriately stocked on a daily basis.
- Provide administrative support to Finance and Accounting with outgoing and incoming mail related to payments, as needed.
- Support Human Resources and other departments with special projects and administrative initiatives.
- Partner with the Office Administrator on office events, room scheduling, setup coordination, and logistical support.
- Maintain confidentiality of corporate, financial, and personnel information at all times.
- Perform additional administrative and operational duties as assigned.
Qualifications:
- Bachelor's degree preferred
- 1+ year of experience in an office, administrative, or front desk support role.
- Proficiency with Microsoft Office (Word, Excel, PowerPoint).
- Strong organizational skills with the ability to multitask and manage competing priorities.
- Professional communication skills, both written and verbal, with a polished front desk presence.
- Detail-oriented, dependable, and proactive with a strong customer-service mindset.
- Ability to work effectively with internal teams, leadership, and external vendors.
- Comfortable working in a fast-paced office environment and handling time-sensitive requests.
