Responsibilities of the Meetings Assistant:

  • Prepares meeting support materials to include: housing information, staff and speaker travel itineraries, and final tie-down meetings
  • Assist with developing spreadsheets to track meeting information and details
  • Assist with the research and coordination of services by meeting vendors and suppliers.
  • Assist with reconciling hotel, convention center, and other vendor invoices
  • Coordinates and prepares all conference shipments
  • Assist with registration activities, including navigating association management software system (Fonteva) to process registration-related requests, responding to member inquiries, and producing reports and other registration-related materials
  • Coordinates with Finance Department on registration payment and refund requests
  • Produces and prepares conference name badges
  • Communicates with members on general and meeting-specific inquiries
  • Maintains inventory for meeting-related materials and supplies
  • Work with members and internal team members on other duties as assigned

Requirements of the Meetings Assistant:

  • Bachelor’s degree
  • Previous work experience in event planning, project management, or administration
  • Comprehensive experience with and knowledge of Zoom and other video conferencing technologies
  • Work experience in a membership association is a plus
  • Interest in working within events and conferences
  • Strong organizational and project management skills required. Must have the ability to manage multiple projects and changing priorities
  • Proficiency in Microsoft Office, including Word, Excel, Outlook, and PowerPoint required
  • Must be a strong team player and customer service focused. Positive attitude a must!
