We’re looking for an organized, dependable Office & Admin Coordinator to keep our office and daily operations running smoothly. You’ll support the Lead Attorney and the team with administrative, docketing, billing, and office tasks. This role suits someone with professional office experience who likes variety, pays close attention to detail, and is comfortable learning new software.
Responsibilities
- Coordinate office operations, including supplies, mail, equipment, and general upkeep
- Work with vendors and service providers
- Enter and update case information in our docketing and practice management systems
- Help support trademark filings, including formatting documents and assembling exhibits
- Prepare and send client invoices, and track payments
- Support onboarding, including new-hire paperwork, setup logistics, and personnel records
- Help with day-to-day operations and special projects as needed
Qualifications
- 2+ years of administrative experience in a professional office (law firm experience is a plus but not required)
- Comfortable with technology, quick to learn new software, and open to using AI tools in daily work
- Accurate data entry and strong attention to detail
- Clear, professional written and verbal communication
- Able to manage several priorities and meet deadlines
- Discreet with confidential information
