We are seeking a highly organized and people-focused Program Coordinator to support apprentices while managing the administrative and compliance needs of a skilled-trades training program. This role combines student support, recordkeeping, program coordination, and compliance, making it ideal for someone who enjoys building relationships, solving problems, and keeping important details and deadlines on track.

Responsibilities

  • Serve as a primary point of contact for apprentices, helping students navigate program requirements, resolve issues, and stay on track throughout their training.
  • Maintain strong relationships and communication with students, instructors, employers, and government/regulatory contacts.
  • Track apprenticeship registrations, licenses, expiration dates, attendance, grades, on-the-job training hours, and other required documentation.
  • Ensure apprenticeship records and processes remain compliant with Maryland and Washington, DC requirements.
  • Proactively identify upcoming deadlines, missing documentation, expiring licenses, and other potential compliance issues before they become problems.
  • Develop and maintain effective tracking and quality-control processes to ensure important program requirements are completed accurately and on time.
  • Maintain accurate student information within databases, spreadsheets, and other administrative systems.
  • Communicate with employers regarding student progress, required documentation, training hours, and compliance-related items.
  • Support class registration, student advancement, orientations, instructor preparation, and other Academy operations.
  • Provide day-to-day administrative guidance and support to instructors as needed.
  • Assist with graduations, competitions, and other Academy events and activities.
  • Look for opportunities to improve processes and create more efficient systems as the Academy continues to grow.

Qualifications

  • 3–5 years of program coordination, education administration, HR, compliance, student services, workforce development, or similar experience preferred.
  • Exceptional interpersonal and customer service skills.
  • Strong organizational skills and attention to detail.
  • Comfortable managing detailed, process-driven work and maintaining accurate records.
  • Strong Excel, Microsoft Office, database, and general technology skills.
  • Ability to manage multiple priorities and proactively identify potential problems.
  • Strong written and verbal communication skills.
  • Ability to work effectively with students, instructors, employers, coworkers, and government contacts.
  • Experience within a school system, trade school, HR department, workforce development organization, or similar environment is a plus.
