Responsibilities
- Serve as a primary point of contact for routine questions from state leaders regarding programs, services, membership, and established processes
- Monitor shared inboxes and ensure inquiries are appropriately tracked, routed, and followed up on
- Provide administrative and logistical support for meetings, programs, conferences, leadership initiatives, and other virtual or in-person events
- Maintain accurate affiliate records, leadership directories, organizational documents, conference information, contact information, and other important documentation
- Track deadlines, requirements, and outstanding information while following up with appropriate stakeholders
- Coordinate annual collection of documents, reports, leadership information, and other required materials
- Assist with preparing materials, tracking attendee or delegate information, onsite event support, and meeting documentation
- Support the delivery of services and identify opportunities to improve administrative processes
- Partner with internal teams to maintain accurate and up-to-date information across websites, databases, and other systems
- Distribute surveys and assist with collecting and organizing responses
- Maintain accurate contact and member information within organizational databases
- Collaborate with internal staff as well as external leaders and organizational stakeholders
- Perform additional administrative and program support duties as assigned
Requirements
- Bachelor's degree or high school diploma with an equivalent combination of relevant education, training, and experience
- 2+ years of experience working in a professional business environment supporting programs or services; association or nonprofit experience is a plus
- Previous experience in a service-oriented or customer-facing environment preferred
- Strong organizational skills and exceptional attention to detail
- Ability to manage multiple responsibilities, deadlines, and changing priorities in a fast-paced environment
- Excellent written communication, editing, and proofreading skills
- Strong verbal and interpersonal communication skills with a customer-service mindset
- Resourceful problem-solving skills and the ability to research and identify solutions
- Ability to work successfully both independently and collaboratively as part of a team
- Experience working with databases or systems used to maintain customer or member information preferred
- Proficiency with Microsoft Office tools, including Teams, SharePoint, Word, Excel, PowerPoint, and Outlook
- Comfortable conducting online research and learning new systems and processes
