We are seeking a Temporary Front Desk Receptionist to serve as the first point of contact for members, visitors, and staff while providing general administrative and office support. This role is ideal for someone with front desk or administrative experience who is professional, customer-focused, organized, and comfortable managing multiple priorities.
Responsibilities
- Answer and accurately triage incoming calls, resolving inquiries or directing them to the appropriate staff member.
- Greet and assist visitors, announce arrivals, provide parking validation when needed, and prepare visitor welcome signage.
- Monitor the main phone system and voicemail, coordinate phone-related requests, and assist with new user training.
- Receive and distribute incoming packages and mail.
- Provide general office support, including monitoring office and breakroom supplies, coordinating equipment needs, and assisting with staff meetings and events.
- Serve as a backup contact for building management and submit facility service requests as needed.
- Provide administrative support to various departments, including mailing assistance, monitoring the main email inbox, and assisting with events and membership-related activities.
- Maintain the staff calendar and add office closures, conferences, meetings, and events.
- Search and update information in the association database, including membership inquiries, event registrations, sponsorships, advertising, and activity records.
- Assist with special projects and other administrative duties as assigned.
Qualifications
- Previous experience in front desk, reception, concierge, or administrative support required.
- Strong customer service skills with a professional and welcoming demeanor.
- Excellent verbal and written communication skills, with the ability to accurately screen and triage incoming calls.
- Strong organizational, multitasking, and time management skills with excellent attention to detail.
- Proficiency with Microsoft Office, including Word, Excel, Outlook, Teams, PowerPoint, and SharePoint.
- Ability to work independently, meet deadlines, and remain dependable and punctual.
- Strong team player with a self-motivated and proactive approach.
- Prior experience with an association database or phone reception system is a plus.
