About the Role
We are seeking a detail-oriented and proactive Administrative Assistant to provide essential support to our operations team. You will handle a variety of administrative responsibilities—from scheduling and data management to coordinating logistics—that ensure smooth day-to-day operations.
Responsibilities
- Provide professional, high-level administrative support to leadership and department staff.
- Assist with invoice reconciliation, expense tracking, and record-keeping.
- Collaborate with other departments to complete tasks and support ongoing projects.
- Manage departmental supplies, files, and records.
- Help coordinate meetings, trainings, and events, including scheduling, preparation, and follow-up.
- Serve as a first point of contact for calls, requests, and general inquiries.
- Support service request systems by processing and routing requests appropriately.
- Act as a liaison with other departments to ensure effective communication.
- Assist in archiving and organizing digital and physical documents.
- Perform other duties as assigned, supporting overall departmental efficiency.
Qualifications
- 3+ years of office administration or related experience (office management preferred).
- Strong organizational and time management skills with the ability to prioritize tasks effectively.
- Proficient in Microsoft Office and comfortable learning new software systems.
- Professional, dependable, and able to handle confidential information with discretion.
- Strong written and verbal communication skills.
- Bilingual skills a plus, but not required.
