Great opportunity to work with a well-established organization seeking an experienced Executive Assistant to provide direct support to the Chief Executive Officer. The ideal candidate will be highly organized, detail-oriented, and capable of managing a wide range of administrative responsibilities in a fast-paced, executive-level environment.
Key Responsibilities of the Executive Assistant
- Manage the CEO’s calendar, including scheduling and prioritizing meetings, resolving conflicts, and ensuring alignment with strategic priorities.
- Coordinate all domestic travel arrangements, event registrations, logistics, and detailed travel itineraries.
- Serve as a primary point of contact for the CEO, managing incoming communications, email, phone calls, and requests.
- Prepare and edit presentations, meeting materials, talking points, and external communication drafts.
- Maintain accurate records of CEO-related expenses and credit card reconciliations; process reimbursements and invoices.
- Coordinate Board and leadership meetings, including taking meeting minutes and providing administrative support.
- Support internal and external event planning, including occasional after-hours commitments.
- Track contracts and assist with approvals and renewals in accordance with internal processes.
Qualifications of the Executive Assistant
- Bachelor’s degree required.
- Minimum of 5 years of experience supporting senior executives, ideally within a corporate or nonprofit environment.
- Proven ability to manage multiple priorities, work independently, and maintain professionalism under pressure.
- Strong written and verbal communication skills.
- High proficiency in Microsoft Office Suite, particularly Outlook for calendar and email management.
- Exceptional attention to detail with a commitment to accuracy and consistency.
- Demonstrated ability to handle confidential information with discretion.
- Stable work history with long-term tenure in previous roles is preferred.
Full-time Hybrid (In-office 5 days/week for the first 90 days, then 3 days in-office / 2 days remote)
$70,000 – $80,000
