The ideal candidate will be highly organized, detail-oriented, and capable of managing a wide range of administrative responsibilities in a fast-paced, executive-level environment.

Key Responsibilities of the Executive Assistant

  • Manage the CEO’s calendar, including scheduling and prioritizing meetings, resolving conflicts, and ensuring alignment with strategic priorities.
  • Coordinate all domestic travel arrangements, event registrations, logistics, and detailed travel itineraries.
  • Serve as a primary point of contact for the CEO, managing incoming communications, email, phone calls, and requests.
  • Prepare and edit presentations, meeting materials, talking points, and external communication drafts.
  • Maintain accurate records of CEO-related expenses and credit card reconciliations; process reimbursements and invoices.
  • Coordinate Board and leadership meetings, including taking meeting minutes and providing administrative support.
  • Support internal and external event planning, including occasional after-hours commitments.
  • Track contracts and assist with approvals and renewals in accordance with internal processes.

Qualifications of the Executive Assistant

  • Bachelor’s degree required.
  • Minimum of 5 years of experience supporting senior executives, ideally within a corporate or nonprofit environment.
  • Proven ability to manage multiple priorities, work independently, and maintain professionalism under pressure.
  • Strong written and verbal communication skills.
  • High proficiency in Microsoft Office Suite, particularly Outlook for calendar and email management.
  • Exceptional attention to detail with a commitment to accuracy and consistency.
  • Demonstrated ability to handle confidential information with discretion.
  • Stable work history with long-term tenure in previous roles is preferred.

Full-time Hybrid (In-office 5 days/week for the first 90 days, then 3 days in-office / 2 days remote)
$70,000 – $80,000
