We are a growing national nonprofit with a great mission to help schools and children. In this position you will also serve as a liaison with vendors and internal staff members regarding A/P, provide system support for the department, and manage other accounting-related duties.
Responsibilities of the Accounting Payable Specialist:
- Completes payments and controls expenses by receiving, processing, verifying, and reconciling invoices
- Reconciles processed work by verifying entries and comparing system reports to balances
- Verifies and charges expenses to accounts and cost centers as coded by budget managers
- Pays vendors by verifying federal id numbers, confirming W-9s, scheduling and preparing checks, and resolving purchase order, contract, invoice, or payment discrepancies and documentation
- Receives and verifies expense reports for staff and members, and processes approved ACH payments
- Maintains accounting ledgers by verifying and posting account transactions
- Verifies vendor accounts by reconciling monthly statements and related transactions
- Maintains payable files and documentation in accordance with organizational policies and in compliance with document retention and annual audit requirements
- Maintains billing and collection records for all association revenue sources with heavy emphasis on the collection of advertising invoices
- Issues credit memorandums and invoice adjustments
- Assists with responding to vendor inquiries
Requirements of the Accounting Payable Specialist:
- Minimum 1-2 years of Accounts Payable experience
- Excellent verbal and written communication skills to interact effectively with customers and all levels of internal and external stakeholders; ability to drive for results using tact and diplomacy
- Familiarity with Sage Intacct preferred
- Proficiency in standard business applications (Excel, Word, PowerPoint, etc.)
- Ability to handle multiple tasks in a fast-paced work environment and ability to work under pressure to meet deadlines
Additional Details:
- Arlington, VA (Shirlington)
- Full-time 8:30 am-5 pm (37.5 hour work week)
- In office 2-3 days per week, Tuesday in office, other day is picked by department
- Temp to Hire starting hourly 22-26/hr (DOE) and expected conversion of $55k
