The Bookkeeper reports to the Operations Manager and works closely with our accounting team to create and analyze financial statements, ensure legal requirements and compliance, process accounts payable and receivable, and manage invoices and tax payments. Confidentiality, excellent organizational skills and accuracy are important qualifications for this position, as well as good customer relations and the ability to communicate clearly. The ideal candidate for this position is a skilled multi-tasker, is reliable and is committed to consistently meeting deadlines.

Responsibilities of Bookkeeper:

  • Primary responsibility for actively tracking, recording, and reporting on all accounts receivable and accounts payable in a high-volume environment
  • Prepare and complete bank deposits
  • Match purchase orders with invoices
  • Receive, review, and post vendor invoices
  • Pay vendor invoices on or ahead of time and track bank account balances
  • Communicate with vendors and subcontractors both verbally and in writing
  • Prepare financial schedules and reports as requested by management
  • Assist in processing biweekly payroll and subcontractor payments
  • Assist accountants with preparing tax returns
  • Maintain and balance general ledger
  • Develop monthly financial statements, including cash flow, profit and loss statements and balance sheets
  • Prepare and present written and verbal reports to senior management on a weekly basis
  • Comply with federal, state, and local legal requirements by studying requirements; enforcing adherence to requirements; filing reports; advising management on needed actions

Minimum Requirements for Bookkeeper:

  • Associate's degree in Accounting, Business Administration, or related discipline
  • Minimum of 1-2 years responsible accounting or bookkeeping experience in a small business environment including accounts payable, accounts receivable, payroll, general ledger and financial reports
  • At least two years' experience with QuickBooks Online software
  • Proficiency in Microsoft Excel
  • Knowledge of regulatory requirements of processing payroll accounting transactions and payroll returns
  • Ability to multitask and maintain a professional demeanor
  • Proven ability to calculate, post and manage accounting figures and financial records accurately
  • Ability to pass a basic criminal background check and basic accounting skills test
